Additional guidance on how to complete the timesheet template to cross-charge Sales Advisors hours to another store.
- The new timesheet template found on the Employee Helpdesk Knowledge Base should be used to report hours worked.
- The template includes an extra column called ‘GL Business Code’, situated between the Name and the Transaction Date.
- The GL Business Code is a 2- or 3-digit number, each one corresponds to a store. The GL Business Code list can be found on the Employee Helpdesk Knowledge Base. This will be updated as & when new stores are in the process of opening.
- A Sales Advisor’s normal, base location (their cost centre as per the Job & Salary screen in Cascade) is referred to as their ‘home’ store.
- Any store a Sales Advisor works in that is not their home store, is referred to as the ‘host’ store.
- The home store reports hours their Sales Advisors have worked in host stores – for cross-charging directly via the timesheet.
- The host Store Manager must notify the home Store Manager of the employee ID, name, total hours worked and how many (if any) of those hours are eligible for the Supervisor (£1/hr) supplement.
- The home Store Manager will determine from the team member’s contractual hours, how many basic, overtime and supervisor hours apply in each location, and report them accordingly on the timesheet, on separate rows – with the code for the host store populated in the GL Business Code column on that row and the Host Store name populated in the comments.
- GL Business Code is not mandatory; any data rows where the GL Business Code is blank will be charged to the home store. Rows with the GL Business Code and Host Store name populated will be charged to the corresponding host store.
- This process applies only to Sales Advisors and can’t be used for Store Managers/ASM’s who work shifts in other stores. Please continue to use the existing process for cross charging their time.
